Our Promise To You

Women Of OZ Incorporated (“Women Of OZ”, “we”, “our”, “us”) is committed to protecting the privacy and personal information of everyone who visits our website, donates, volunteers, pledges, raises funds or writes to us. This Privacy Policy explains what we collect, why, where it is kept, who else sees it, and how you can see, correct or remove it. We handle personal information in accordance with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth).

A copy of the Australian Privacy Principles may be obtained from the website of the Office of the Australian Information Commissioner at https://www.oaic.gov.au/.

We never sell, rent or trade your personal information, and we never use it for advertising.

What Is Personal Information, And Why We Collect It

Personal information is information or an opinion that identifies a person, such as a name, email address, phone number or postal address.

We collect it so we can do what you have asked of us: process your donation and send your tax receipt, welcome you to the Ruby Slipper Club, invite the people you name in the Power Of 5, book your seat at an event, run your fundraising page, welcome your business to the Business Angel Network, and answer you when you write to us. We may also use it for a purpose closely related to that, where you would reasonably expect it.

We collect it through the forms on our website, by email, by phone, in person at our events, and through our work. Where it is reasonable and practicable, we collect it only from you. When we collect personal information we will, where appropriate and possible, explain why we are collecting it and how we plan to use it.

What We Collect, Part By Part

Donations And The Ruby Slipper Club

Your name (as it goes on your tax receipt), your email address, the amount, whether you give once or every month, the fund you choose, and the day a monthly donation begins. We keep a record of each donation and its receipt number, because a tax-deductible receipt must name the donor and be kept.

Your card details never reach us. You enter them straight into Stripe, our payment provider, on our page, and Stripe holds them. We keep only Stripe’s reference numbers for your payment, never your card number.

If we send you a personal link to bring a monthly donation across from our previous giving platform, that link carries your name, email address and the amount you gave before, so the form is ready for you. It works for 60 days.

Your Giving

There is no password to remember. When you ask to see your giving, we email you a link that works once, for 15 minutes. Opening it keeps you signed in on that device for up to 14 days, or until you sign out. We store only a scrambled version of each link, never the link itself. There you can see every donation and receipt, print your financial-year statement, and change or stop a monthly donation.

The Power Of 5

A Ruby Slipper Club member can name up to five people they would love beside them, giving us each person’s first name and email address. Please name only people you believe would welcome hearing from you.

If you have been named: we write to you once, about an hour after you were named, and once more two days later if we have not heard from you. When you answer (or after three days with no answer), your email address is removed from that invitation. Your first name stays only as part of that member’s count. The member who named you is only ever told a number, never who said yes or not right now.

The Business Angel Network

Your business name, ABN, a contact first name, email address, phone number, suburb and postcode, and what your business would like to give. We check your ABN against the public Australian Business Register. Your business is shown publicly only if you choose that. We never record who received your help. A private link we email you lets you change your details and your offers at any time.

Fundraising Pages

The name you choose to show, the words and photo you add, your goal and your date. Quiet mode shows your first name only, lives at a private address that search engines are asked not to list, and reaches only the people you send it to. Anyone donating through a page may choose to be named or to give anonymously, and may leave a message.

Events And Auctions

The name and email address of the person booking, the names of their guests and any dietary needs they tell us about (which we use only to look after them on the night), and, for sponsors and stallholders, business and contact details. For some nights, your card is kept with Stripe so your bids and pledges can be settled in one payment at the end. On the night, our volunteers’ phones may hold the guest list (names, tables and dietary needs, never email addresses) until the night closes.

Write To Us

Your name, your email address and your message, so we can answer you. We keep your message and our reply together. Please share only what you are comfortable sharing. If you are in danger, call 000.

Photos

Every photo uploaded to our website is redrawn on arrival, and any location or camera details hidden inside it are removed.

Sensitive Information

Sensitive information is defined in the Privacy Act to include information or opinion about such things as an individual’s racial or ethnic origin, political opinions, membership of a political association, religious or philosophical beliefs, membership of a trade union or other professional body, criminal record or health information.

Sensitive information will be used by us only:

  • For the primary purpose for which it was obtained
  • For a secondary purpose that is directly related to the primary purpose
  • With your consent; or where required or authorised by law.

Who We Share Your Data With

Only these, and only what each needs:

  • Stripe, our payment provider, receives what a payment needs: your name, email address, the amount, and the fund and receipt details that travel with it. For a monthly donation, Stripe keeps a customer record so it can take each month’s donation. Apple Pay, and Google Pay where it is offered, reach us through Stripe. Stripe is certified to the card industry’s security standard (PCI DSS). Its own privacy policy is at https://stripe.com/au/privacy.
  • The company that hosts our website keeps the website, its records and its letters on its servers on our behalf.
  • Google Fonts: our pages use typefaces served by Google, so your browser asks Google for them, which shares your device’s internet address with Google. No other personal information goes to Google.
  • The Australian Business Register receives a business’s ABN when a business joins the Business Angel Network, so we can check it.

We keep simple counts of how our website is going (for example, how many donations arrived in a week) in our own reporting, never names, email addresses or messages.

Beyond that, we share your personal information with nobody, unless you ask us to or the law requires or authorises it. Women Of OZ regards your personal and sensitive information as confidential.

Stripe and Google are international companies, so information they receive may be handled outside Australia.

Cookies And Tracking

Our website has no analytics, no advertising pixels and no tracking cookies. It uses only a few small cookies that make it work:

  • A sign-in cookie, after you open a link we emailed you (Your Giving, your fundraising page, an event night), lasting up to 14 days or until you sign out.
  • A cookie of up to 30 minutes that keeps your payment with your browser while you complete it.
  • On an event night, a cookie on our volunteers’ door phones, lasting about 12 hours.
  • Sign-in cookies for our own team when they work on the website.

Security Of Personal Information

Your personal information is stored in a manner that reasonably protects it from misuse and loss and from unauthorised access, modification or disclosure. Card payments are handled entirely by Stripe. Pages that show your own giving are never stored by our website’s cache, and private links are kept from passing on to other websites.

How Long We Keep Your Data

As a charity, we keep donation records and tax receipts for at least seven years to meet our record-keeping obligations to the ACNC and the Australian Taxation Office.

Other information is kept for as long as we need it for the purpose it was given, and for as long as you are part of Women Of OZ. When it is no longer needed, we will take reasonable steps to destroy or permanently de-identify it. You can ask us to remove it sooner at any time.

Access To Your Personal Information

You may access the personal information we hold about you, and update or correct it, subject to certain exceptions. Many of these you can do yourself: Your Giving shows every donation and receipt and lets you change or stop a monthly donation, and a Business Angel’s private link lets the business change its details. For anything else, write to us using the details below.

Women Of OZ will not charge any fee for your access request, but may charge an administrative fee for providing a copy of your personal information.

In order to protect your personal information we may require identification from you before releasing the requested information.

Asking Us To Delete Your Data

You can ask us to delete the personal information we hold about you at any time, by writing to us using the details below. We will remove it, except what the law requires us to keep, such as the record behind a tax receipt, which we keep for the seven years above and then remove. We aim to answer every request within 30 days.

Maintaining The Quality Of Your Personal Information

It is important to us that your personal information is up to date. We will take reasonable steps to make sure that your personal information is accurate, complete and up-to-date. If you find that the information we have is not up to date or is inaccurate, please let us know as soon as practicable so we can update our records and ensure we can continue to look after you well.

You may ask to be removed from any mailing list of ours at any time.

Policy Updates

This Policy may change from time to time, and the current version is always on our website, with the date it took effect at the top.

Privacy Policy Complaints And Enquiries

If you have any questions or a complaint about this Privacy Policy or how we have handled your personal information, please contact us using the details below. We will look into it and answer you. If you are not satisfied with our answer, you may contact the Office of the Australian Information Commissioner at https://www.oaic.gov.au/ or on 1300 363 992.
